Association Member Services Coordinator

Job Description & Requirements: OPA needs a membership services coordinator to assist in workshops, conventions, contests, mailings, meeting minutes, and other membership services. We need a team player. Position requires organization, attention to detail, customer service, writing and editing. Microsoft Office experience required. Experience with web site maintenance and Microsoft Publisher or other layout program preferred.

Duties include:
»  Provide administrative support to member services director.
»  EVENTS: Assist in planning the association and foundation’s workshops and events. Mail promotional materials, send confirmations, schedule and coordinate with meeting venues, and oversee workshops on site. Maintain registration lists in Excel, prepare name badges using Microsoft Publisher. Update calendar of events on web site.
»  CONVENTION: Coordinate registrations and billing. Oversee registration desk at event. Miscellaneous other convention preparation tasks.
»  COMMITTEES: Coordinate committee meeting dates and send meeting notices to attendees. Record and transcribe minutes for five standing committees and any special committees. Write reports summarizing each committee’s activities for board of directors. Annually solicit committee volunteers and prepare binders for each.
»  CONTEST: Assist in annual contest by sorting entries and shipping to judges. Check judging results and materials when returned. Assist in preparation of contest plaques and certificates and other materials. Recruit members to judge other state’s annual contest.
»  ONF: Assist with foundation’s internship and scholarship programs, including promotion to colleges and newspapers, and communicating with student interns and papers. Prepare recognition letters to foundation donators.
»  WRITING: Write up to two articles per month about upcoming events and ONF programs for publication in The Oklahoma Publisher. Update the publication’s list of calendar events and ONF donators.
»  Help promote office morale by coordinating any office parties and distribute staff birthday cards. Work with executive director to prepare annual blooper show in Microsoft Powerpoint.
»  Other duties as required in providing services and materials to members.
